We are pleased to present this excellent opportunity for a Timetable Administrator to join our Client, a prestigious University within the Central London area on a temporary, full-time basis with immediate start. The successful applicant will support the Timetable Manager in production of the teaching timetable and provision of a room booking service, allocate space and resources to the timetable and resolve problems in the provision of teaching space.

The ideal candidate will have strong administrative background, previous timetabling experience and knowledgeable with Syllabus plus timetabling software. If you have excellent written and verbal communication, organisation and planning skills. If this sounds like you, then read on.

Timetable Administrator Key Responsibilities

  • To support the Timetable Manager in the compilation and publication of the teaching timetable
  • Collection and modelling of timetable data. Scheduling rooms, staff and resources, working with Heads of Department, Faculty Administrators, and other academic colleagues
  • Using problem solving and analytical skills to solve complex timetable queries balancing the needs of academics and students with the space constraints of the School’s estate
  • To prepare and oversee the running of School Room Audits including recruiting and
  • managing temporary staff, operational management and collating room audit data. At other times, carrying out ad-hoc room checks to ensure that rooms are used effectively
  • Deputise for and represent the Timetable Manager in their absence, liaising with Faculty Officers and central service Directorates such as Estates and Facilities, Student and Registry Services and Information Systems, as necessary
  • Determine the appropriate response to email/phone enquires and questions about timetabling and room booking
  • Maintain and update the timetable web pages, including publication of the live timetable pages
  • Ensure that regular bookings are in place for School exams, open days, closures and maintenance work; including organisation and notification of room changes
  • Oversee the Web Room Booking software on a day to day basis, organising weekly printed room timetables

Timetable Administrator Skills and Experience

  • Previous timetabling experience is essential
  • Knowledge and experience working with Syllabus plus timetabling software is highly desirable
  • Excellent written and verbal communication and interpersonal skills
  • Ability to use initiative as well as working with a team
  • Excellent attention to detail
  • Planning and organisation skills
