A fantastic opportunity has arisen to join a prestigious London University on a permanent basis. Our client is seeking an experienced PA to join them as an Executive Assistant to the Director of Education and the wider team.

The successful candidate will have proven interpersonal, communication and organisational skills, plus the ability to take initiative. Along with excellent diary and inbox management skills, the ideal candidate will have the ability to handle sensitive information in a confidential manner. Executive Assistant Key Responsibilities:

  • Provide secretarial and administrative support to the Director and the team
  • Office and facilities management for the department
  • Responsible for designing the Learning & Development needs of the team, including team development days and Induction for the team in line with the department strategy and the Directors requirements
  • Manage recruitment for the team, assisting relevant line manager with shortlisting and interviewing and meeting all HR deadlines
  • Process all financial requirements for the team, such as expense claims, raising purchase orders and journaling costs across budgets
  • Manage the departmental expenditure budget ensuring no over-expenditure and that the team adheres to the expenses policy
  • Assisting the business development team in writing proposals and collation of information for requests for proposal (RFP)
  • Organising ad hoc events

Executive Assistant Essential Skills and Experience:

  • Must have three to four years’ PA experience with a high level of organisation and time management skills
  • Recent PA experience in the Higher Education section would be highly desirable
  • Excellent interpersonal skills and ability to build working relationships with stakeholders at all levels
  • Ability to use judgment in order to prioritise tasks in a fast-paced working environment
  • High level of attention to detail applied consistently to all tasks
  • Ability to use initiative, with a willingness to solve difficult problems
  • Outstanding communication skills to enable drafting documents such as minutes and presentations
  • Strong IT skills with understanding of Microsoft Office
  • Experienced in Microsoft Excel to intermediate or advanced level
