A fantastic opportunity has become available to join our client, a respected London University, as an Executive Assistant on a temporary basis. The Executive Assistant will provide support with diary management, booking meetings and minute taking in Board level meetings.

The ideal Executive Assistant will be available to start immediately and will be a self-sufficient, self-starter who can hit the ground running to provide value to the team right from the start. The Executive Assistant will hold excellent multitasking abilities, the ability to focus despite interruptions and work well under high pressure situations. Executive Assistant Key Responsibilities:

  • To provide comprehensive and proactive high-level executive and administrative support to the Head of Science
  • To proactively plan and manage the diaries of the team for both internal and external engagements; to anticipate upcoming tasks and projects, taking a lead in prioritising and planning their diary commitments, balancing complex and competing commitments and priorities
  • To provide administrative support for HR, finance, business processes and events
  • To service the Faculty Executive Board and professional services team meetings
  • To manage the day-to-day administration of specific budgets, providing accurate, forecasts as required
  • To carry out office management duties and act as first point of contact for guests when required
  • To provide high-level support to colleagues during peak periods and at times of absence and leave

Executive Assistant Essential Skills and Experience:

  • Must have at least three years’ experience in PA / Executive support positions within a corporate environment
  • Excellent diary management skills and able to organise complex itineraries and coordinate meetings
  • Excellent minute taking skills with previous experience supporting Board / Committee meetings
  • Highly resourceful and able to quickly identify solutions to problems
  • Confident/friendly personality and able to work under own initiative
  • Previous experience in Higher Education is desirable but not essential
