Our client, an innovative, global leader in transportation, has an exciting opportunity for an experienced Personal Assistant to join their team in Central London on a permanent basis. The ideal candidate will have an enthusiastic approach and high proficiency in diary management, travel coordination and document preparation. Our client requires someone with at least three years’ experience is providing executive support to board level seniors.

The successful candidate will have excellent multi-tasking abilities, strong communication skills and a charismatic personality. Personal Assistant Key Responsibilities:

  • Providing proactive and high-quality support, without the need for formal instruction
  • Full management and responsibility of diary ensuring CEO’s time is utilised constructively
  • Excellent communication with CEO ensuring they are continually aware of changes, updates, issues, outcomes and are fully prepared / briefed for any meetings
  • Proactively filter, respond to and follow through on all queries, calls and emails
  • Produce / prepare presentations and documents for meetings
  • Full management and coordination of internal and external meetings
  • Travel logistics UK and abroad, includes preparing and managing comprehensive itineraries
  • Continually provide high quality solutions through utilising senior management, professional expertise, appropriate resources
  • Liaise with other PAs and Senior Executives internally, and externally with key clients
  • Responsible for assisting office staff with queries
  • Ensure smooth running of the office and liaise with Building Managers and other suppliers to raise and resolve any issues
  • Positively influence employee engagement and make the office environment the best it can be

Personal Assistant Skills and Essential Experience:

  • Solid PA / EA experience to proactively manage a CEO’s inbox
  • At least 3 years’ experience in executive support positions in the private sector
  • Professional, charismatic and assertive to manage a CEO’s time effectively
  • Friendly and approachable attitude to engage and build relationships with staff, suppliers and key stakeholders
  • Able to multitask and prioritise in a demanding environment
  • Excellent verbal and written communication
