Our client, an established Transport Company is seeking a Team Assistant on a permanent, full-time basis. The successful candidate will provide PA assistance to Senior Management, as well as providing all round administrative support.

The ideal candidate will have about 12 months of team assistant experience; have Office 365 knowledge (including Outlook, Word and Excel); strong organisational skills; and a positive and enthusiastic outlook. Team Assistant Key Responsibilities:

  • Team Assistant, providing PA support to the CFO, Performance Director and Head of HR, as well as the wider team
  • Office opening and set up of all facilities
  • Diary management and arranging meetings both internal and external
  • Setting up meeting rooms, providing refreshments and ensure they are kept tidy and equipment functioning fully
  • Greeting guests arriving for meetings, ensuring friendly, professional welcome
  • Assisting with facilities management by liaising with building management and contractors
  • Setting up new team members with ID passes, ensuring IT has been organised and undertaking first day local induction
  • Booking travel and hotel accommodation
  • Organising company drinks and events
  • Ensuring stationery supplies are available at all times, ordering as required
  • Managing the booking of meeting rooms
  • Collection, collation and distribution of the post
  • Covering the Executive Assistant and Office Manager’s role during annual leave
  • Conducting office safety tours and the management and maintenance of Office Health, Safety & Environmental records
  • Excellent written and oral skills for external communications
  • Knowledge of social media platforms, with the ability to post and update information on a variety of apps (for example Twitter, Instagram and LinkedIn)
  • Experience with company Intranets
