Job Description

Signature Recruitment are excited to be recruiting for an Executive Assistant. You will be working closely with the CEO of a national medical membership organisation. The role is remote with occasional working in Central London. Being based near Bristol and Bath would be advantageous.

This organisation sets professional standards within medicine, and works to influence the quality of medical practice within the United Kingdom.

You will play a vital rile in ensuring this quality driven membership organisation runs in a highly professional manner.  This is a role predominantly broken in to two parts. You will be working closely to support the CEO with traditional EA duties including their diary management, board packs, and meeting minuting and correspondence. You will also support in event planning.

Benefits:

  • £40,000 – £45,000
  • 28 days annual leave, plus public holidays, with an additional day given for every 2 years of service (up to a maximum of 34 days).

Responsibilities:

  • Maintain a busy calendar of meetings and events and attend a wide range of online meetings to take accurate minutes.
  • Manage the logistics for face-to-face Board and Council meetings, the AGM, Awards Event and Annual Dinner.
  • Liaise with the professional event organiser regarding arrangements for the CEO, Board and staff attending, and assist at the event if required.
  • Organise staff meetings and social events, on behalf of the CEO, including the Christmas party for staff.
  • Maintain a list of categories of prizes awarded each year, the prize recipients each year, and the gifts presented.
  • Be the main point of contact for matters relating to the FOM’s premises.
  • Liaising with maintenance and external contractors to obtain competitive quotes and arranging maintenance visits occasionally.

Requirements:

  • Substantial administrative experience, preferably in the education sector or for a professional body,
  • Experience of providing administrative support at Board level or for senior managers.
  • Experience of maintaining confidentiality and building trust at executive level.
  • Exceptional attention to detail.
