Job Description

If so, Signature Recruitment is thrilled to offer a full-time role for an Executive Assistant at a prestigious London university. This is a temporary position for six-weeks and has an immediate start, offering a flexible hybrid working structure.

In this role as Executive Assistant, you will primarily support two or three members of the senior leadership team.  Placed within the Faculty of Sciences, you will coordinate cross-departmental and faculty processes as well as provide secretarial assistance to departmental committees. You will act as first point of contact for senior faculty members and coordinating inbox and complex diary management. In addition, you will be able to service Committee Meetings and produce well written minutes.

Executive Assistant Key Responsibilities:

  • Managing complex diary arrangements and inbox support for the senior leadership team. To include drafting correspondence and responding to enquiries, coordinating travel arrangements and schedules, and navigating competing issues to ensure swift resolution.
  • Acting as a primary point of contact for the department, maintaining effective relationships with colleagues and external stakeholders
  • Provide secretarial services for faculty and department committees. To include preparing agendas, reports, data, writing minutes and also coordinating resulting actions
  • Overseeing event arrangements including organising venues, catering, invitations, and instructions for attendance
  • Undertaking project management support to the senior team, producing reports, presentations, and data sets
  • Facilitating administrative processes and systems for the faculty office. Assisting with HR, finance and other business operations as required

Executive Assistant Key Skills:

  • Strong experience in a similar role, providing exceptional assistance to a senior team
  • Excellent written and verbal communication skills, with a personable and professional approach
  • Highly organised with good time management and attention to detail
  • Proficient in IT
