At Signature Recruitment, we are seeking a full-time Executive Officer to join our client, a higher education establishment in London. This is a full-time role with an immediate start for a 3-month contract. The role offers a hybrid working arrangement of three days in the office and two days home-based working.

As an Executive Officer, you will be the first point of contact in the office. You will be a strong communicator regularly liaising with senior faculty and cross-departmental colleagues, academics, and other professionals throughout the university.  You will show strong administrative and organisational skills. Duties include providing delivery of day-to-day operations including inbox and complex diary management, and executive assistance to several faculty senior team members and departments. Also, this position requires someone to proactively identify ways to improve service delivery and lead project work as required.

Executive Officer – Key Responsibilities:

  • Complex diary management
  • Effective with active inbox management – dealing with correspondence including e-mails, formal letters, drafting replies where necessary
  • Provide business triage for a broad range of time-critical issues referring upwards where required.
  • Meetings organisation including preparation of agendas, travel schedules, venue booking, catering, instructions for attendance and invitations.
  • Minute-taking at meetings
  • Other secretarial support to the Faculty or Department committees as required

Executive Officer – Key Skills:

  • The ability to be decisive and highly organised with strong time management in a busy team
  • Professionalism with good communication skills with people across all areas and fields, able to develop effective working relationships
  • Proficient in IT – good working knowledge of the Microsoft Suite in particular Excel and SharePoint
