Signature Recruitment has an exceptional opportunity for an Operations Assistant to join our client, a leading London University in the South London area on a temporary, full time basis. The successful Operations Assistant will provide an efficient, proactive and professional support service to the educational leadership team, will be working in a fast-paced environment, and will need to be able to multi-task and react quickly to changing priorities.

Operations Assistant Key Responsibilities:

  • Maintain and enhance Faculty information systems and databases ensuring the data completion and quality are both high and consistent, providing end users with advice on data input and solving problems
  • Meeting and greeting visitors
  • Meeting organisation including, booking meeting rooms, arranging catering
  • Financial Administration
  • Assist with diary management for the Education Leadership team
  • Arrange travel and accommodation requirements for Education Leadership Team when attending conferences
  • General administrative tasks including ordering stationery, printing, photocopying, maintaining office supplies and ensuring equipment is in good working order
  • Maintain a good network across the institution of colleagues in other directorates responsible for operationally-relevant matters
  • Assist with local induction, training and staff development as appropriate
  • Develop an understanding of best practice with regard compliance with GDPR and the use and sharing of data

Operations Assistant Essential Skills and Experience:

  • A successful track record in providing a professional operational service or equivalent experience in administration
  • Experience of analysing information in a business context and presenting findings in a clear written form
  • Intermediate to advanced Excel skills, and good working knowledge of Microsoft software packages
  • Excellent written and oral communication skills, conveying complex information to a non-specialist audience through clear and accessible formats using data analysis to show evidence
  • Strong organisational and time management skills with the ability to manage and prioritise work
