Signature Recruitment is excited to present an opportunity to join our client, a University in the Central London area, as a Personal Assistant and Lab Administrator on a part time, temporary basis. The role will be based within a medical department and the successful candidate will be an enthusiastic individual who will provide support the Institute Director and work closely with the administration team.

The ideal candidate will have excellent experience as a Personal Assistant and will be a strong communicator and Administrator. Previous experience in an Academic or medical environment would be a bonus. If this sounds like a role that would suit your experience well, then please continue reading!

PA and Lab Administrator Responsibilities:

  • Arrange meetings on behalf of the Director and Manager, both internal and external, circulating and setting dates, booking rooms as necessary, preparing and distributing agendas and other Committee papers
  • Record, produce and circulate minutes of meetings in a timely manner including Academic Staff Meetings etc.
  • Gatekeep for the Institute Director and minute taking where necessary
  • Organise the Director’s attendance and travel arrangements to conferences and meetings in the UK and abroad
  • Process expenses
  • Manage and respond to all calls, visitors, post and e-mails
  • Draft, prepare and type letters and documents as required and assist with the production of reports
  • Liaise across department and hospital as required
  • Work closely with the administrative and technical staff on day-to-day matters including visitors, recruitment, work planning, health and safety, meetings and other relevant issues
  • Manage and process annual leave applications and record on a spreadsheet or on MyView as appropriate
  • To increase the visibility and effectiveness of the Institute’s website and social media platforms, particularly in relation to recruiting academic staff and undergraduate and postgraduate students
  • Oversee the operation of the Institute building including monitoring facilities management services

PA and Lab Administrator Key Skills and Experience:

  • Excellent IT skills, proficient MS Office user
  • Excellent communication (written and oral) and interpersonal skills
  • Ability to manage own workload through effective ordering of priorities and display excellent organisational skills.
  • Working with and dealing with senior academic staff
  • Working with minimum supervision and taking responsibility for setting and meeting targets
  • Working in a PA/secretarial or clerical/administrative role preferably in an Academic or NHS environment
