Our client, a leading Engineering consultancy firm has an exciting opportunity for an experienced Office Manager to join their team on a permanent basis. The ideal candidate will have strong administrative experience and be committed to delivering a high level of service to be able to provide support to a busy, fast-paced office.

The Office Manager will be responsible for the Financial Administration duties including processing invoices, raising purchase orders and overseeing Credit Control functions. Alongside this you will be on the front desk acting as first point of contact, maintain staff calendars and diaries, arrange meetings and handle general enquiries. Office Manager Responsibilities:

  • Invoicing (Management of Instruction Forms & Client Details, Issuing Invoices, Issuing Payment Applications)
  • Credit Control (Overdue Management, Issuing Final Demands & Liaison with Solicitors in case of final demands)
  • Supplier List Database Management (Updating / Creation of Databases)
  • Meeting arrangements, Agenda preparation and minute taking
  • Use of Online Accounting Software
  • Incoming Quote Management and Distribution
  • Reviewing of Contracts and Warranty Documents
  • Insurance (Liaison with Insurance Brokers and understanding of Insurance schedules)
  • Health & Safety (Liaison with H&S Consultant, Management of H&S Files, H&S Memberships)
  • Post / Courier Duties and other ad-hoc duties as required (Stationary, filing documents)
  • Development and Implementation of new Administrative Systems
  • Analysis of Company Performance (Monthly / Annually)
  • Accountants (Liaison with Company Accountants regarding any queries on Xero / Reconciling invoices & Payments)
  • Calendar management
  • Assisting with Events when necessary
  • Management of Out of Office for Staff and Company Parking Permits
  • Line management of Part Time Administrator
  • Answering, Fielding and Distributing Phone Calls
  • Manage and update the departments Internet and Intranet pages
  • Travel and accommodation bookings

Office Manager Essential Skills include:

  • Financial Administration
  • Microsoft Word and Excel – Advanced
  • Xero (or other accounting software) – Ability to use independently
  • Second language – Preferred, but not required
  • General aptitude for use of technology
  • Excellent oral and written communication skills
  • Numerate, with analytical skills
  • Fast keyboard skills and positive attitude and able to work with initiative
